Coaching fee receipt format: what it must contain (+ free template)
A coaching fee receipt must show: institute name and contact, a serial receipt number, date, student name and course/batch, what the payment is for, amount in figures and words, payment mode, remaining balance if any, and a signature. Number receipts in one unbroken series. The free template below has all ten fields, print-ready.
The receipt is the smallest document in your institute and the one that settles the biggest arguments. When a parent says "maine December mein hi de diya tha", the conversation ends in five seconds if a numbered receipt exists — and can poison a relationship if it does not. Here is the format that protects both sides.
The 10 fields a defensible receipt contains
- Institute name, address and phone — printed, not handwritten; it is your brand and your proof of issue.
- Receipt number — serial, unique, from one series (more below).
- Date of payment — the day money changed hands, not the due date.
- Student name — plus father/guardian name where names repeat.
- Course and batch — "Class 10 Maths, Evening" beats "tuition".
- Particulars — which month/installment this pays: "March fee" or "Installment 2 of 4".
- Amount in figures AND words — the words control if they differ; alteration becomes evident.
- Payment mode — cash / UPI / bank. For UPI, note the last 4 digits of the transaction reference.
- Balance remaining — the field that makes partial payments safe: "Received ₹2,000, balance ₹1,500 due 10 April."
- Signature of the receiver — with name, so "someone at the counter" has an identity.
Numbering discipline: one series, no gaps, no reuse
- One unbroken series for the whole institute (e.g. 2026-0001 onward). Per-batch or per-month series create duplicates.
- A cancelled receipt is kept and marked CANCELLED — never torn out. A missing number is an unanswerable question in any audit.
- Carbon copy or counterfoil stays with you; software receipts keep this automatically.
GST, briefly
If your institute is GST-registered, receipts must additionally carry your GSTIN and show the taxable amount and GST separately (commercial coaching is taxed at 18% as of this writing — confirm current rules with your CA). Below the registration threshold, a simple receipt like the template is standard practice; when in doubt, a 15-minute CA conversation is cheaper than a notice.
Handwritten vs. software receipts
A handwritten pad with the fields above is perfectly workable at small scale — that is exactly what the template is for. What software adds is the part paper cannot: the receipt number that can never duplicate, the copy that can never be lost, the balance that updates the dues list the moment it is written, and the parent receiving a PDF on WhatsApp before leaving the counter. Common questions
It is better than nothing and worse than a receipt. A message proves a conversation; a numbered receipt proves an amount, a date, a purpose and a balance in one artifact. Send the message and issue the receipt.
Cash needs receipts most of all — it is the mode with no bank trail. Every cash payment, however small, gets a numbered receipt at the moment of payment.
Issue a refund voucher referencing the original receipt number ("Refund against Receipt 2026-0143"), signed by the parent receiving the refund. Never alter or destroy the original receipt.
