Fee reminder messages for coaching classes: 15 WhatsApp templates that get paid

A fee reminder that gets paid is short, names the exact amount and due date, offers an easy way to pay (UPI), and stays respectful — sent before the due date, not weeks after. Below are 15 copy-paste WhatsApp templates in the Hindi-English mix Indian parents actually read, plus the timing rules that make them work.

Nobody enjoys asking for money — which is why fee reminders get postponed, and postponed reminders become awkward calls, and awkward calls become session-end write-offs. The fix is to make reminding mechanical: fixed timing, fixed wording, zero improvisation. These are the templates we use at our own institute. Replace the {placeholders}, keep the tone.

The five rules before the templates: (1) Remind before the due date — a reminder after 20 days silent is a complaint, not a reminder. (2) Always state the exact amount and date. (3) Give a zero-friction way to pay — UPI ID or "at the counter today". (4) One thread per student — never mix fee talk into the study-updates group. (5) Receipt immediately after payment, every time. Receipts train parents that payments are recorded — which makes the next reminder easier.

Before the due date (the ones that prevent everything else)

Common questions

Should fee reminders go to the parent or the student?

The payer — usually the parent — always. Reminding a teenager about money creates classroom awkwardness and rarely reaches the wallet. Keep a separate thread with the parent for anything involving fees.

How many reminders before a call?

Two messages, then a call. T1/T2 before the due date, T4 a few days after — if silence continues, a warm phone call resolves more in two minutes than a week of texting.

Is it okay to send reminders in a class WhatsApp group?

Never name a student with dues in a group. A general "fees for March are due by the 10th" group notice is fine; anything with a name and an amount is a private thread only.
